Reporting rules:
Activity Report: monthly, every 15th of the following month
Description:
obligatory for each partner every 15th of the following month; report per partner not person
This is a monthly report. Please, list all hours of work carried out by BHL-Europe workers. It is a requirement to list hours per person and task and work package. If you cannot provide the information in that detail please contact the BHL-Europe office. Please, be aware that all hours of work listed in this report have to be included in the next financial statement. It is up to the project managers (work package leaders) to approve the hours of work per task. If you would like to include contribution that will not be mentioned in the financial statement, please send us a description of the contribution in a separate file. These reports will be used to cross check hours and costs provided in your next financial statement and to calculate person month per partner and work package for the next progress reports. All costs have to be listed in Euro.
Please use the template provided (below: documents, report templates) otherwise the report cannot be accepted. There is only one report per partner. Please compile all relevant information in one spread sheet.
Status Report: quarterly report
Description:
obligatory for each partner; report per partner institution
This is a report every three months. Please, provide a detailed description of all activities carried out per partner/ institution and per work package. Report WP2 und 3 all together otherwise it would be redundant in many cases. This status report should not be longer than one page DIN A4 and has to cover the entire reporting period (3 months). The report includes the dissemination questionnaire and a risk and issue log. Please, report thoroughly on any dissemination activity, possible risk and issues in future.

Internal communication rules
- keep initial discussions on outcomes and (draft) deliverables within WP or workgroups
- use the BHLwiki for votes or discussions of a more general interest (final drafts)
- each WP leader is responsible for the maintenance and update of the respective WP section of the wiki, the initiation of discussion / feedback sessions and the upload of files (TMB and CWG members may upload to WP3 and WP5, respectively)
- no "reply all" to general Email announcements and requests, reply only to WP leaders or workgroups (TMB, CWG) or use the wiki if discussions are open there
- keep the PMG informed of discussions with wider implications (copy PMG into the end of a thread)
- Cc all Emails to bhl-europe@mfn-berlin.de to facilitate filing; at least include "BHL-Europe" in the subject of each Email to the PCO
- PMG will have weekly conf calls (date and time to be decided) to discuss urgent issues
- PCO will send quarterly status report with achievements, decisions and progress
