Notes from Call with IU, MoBot, and Suzanne eavesdropping

1. Doug is going to Germany for facsimile comparison with the rare book! Good luck with security and customs

2. July 1st a third station with CARLI consortium Possibly realistic more like September. The coordination within the state needs to be worked out.
Betsy getting the consortium a IA scanner with a focus of the evening shift for BHL items. Quantity needs to be discussed – one shift on one machine for BHL. IA has not hired the scanners for this machine yet.

Double shift with the current machines is working well. Two shifts on one machine – 16 to 18 books a day. Should estimate 20 books on average a day until CARLI is ready

MoBot – send lists of titles to UIUC to be pulled. UIUC does not get gudget information until June so staffing levels are unclear right now – this would effect the ability to handle the matching/pulling on IU side. But, as soon as material is identified - UIUC can start pulling with a backlog in place. Third scanner will be taking up some space that is used for storage but seems like other space can be identified to keep the books in the backlog.

At MoBot a bit of work has started. Michelle is the point person at MoBot to identify material in UIUC.

Betsy warned: Rarebook room material potential problem. Doug is trying to avoid rarebook material. UIUC is thinking of moving one scanner closer to the rare material.

If material is offsite storage might need some retrieval funds to help pull. Identifiable as “Oak Street” location. Betsy can send Doug instruction list for how to record information for pulling at UIUC.

UIUC needs to supply IA with an electronic packing lists – is BHL willing to support labor cost? The funds are not being spent fast enough so funds might be used to get as much done as quicly as possible.

Cataloging level for some titles. If UIUC isn’t full can they pull from MoBot marc if needed? First choice be UIUC catalog and MoBot as the back up. UIUC if the titles are all in Caps title – OCLC number that matches the title at MoBot for those titles Marquet (?).

Bib id for UIUC records. Any in CAPS should also supply OCLC number.

Chris will talk with Robert about timing issues. Speeding up hardward and hiring. No real space issues for immediate delivery. Soon can happen. UIUC has a microfilm scanner in the same room. (Should we id any BHL microfilm related stuff?)

Robert reported to Betsy that he could bill BHL directly (Who keeps an accounting? MoBot?)

IA record for scanning – both institutions names – contributing library vs sponsor. MoBot as contributing library and UIUC as sponsor. Same as Chicago’s flow.

3. OCLC and eISBN: Review MJ email. UIUC is on Voyager. Suz review and send questions to group.

4. eISBN – UIUC got a block of numbers. Contract is still with legal counsel. 1,000 from Bowker. These will be for the print on demand program with Kirtas and Amazon. Kirtas costed out to be worth it as the middle man...send files to get formatted to Amazon. 2 cents page to prep files. Kirtas is UIUC's middle man to get the files and handle the money back from Amazon. 15% sales – non-exclusive on demand all through Kirtas. Higher direct from Amazon but the cost to prep the files was too taxing. Most already scanned materials. UIUC is sending copies of the files from IA to Kirtas – not pointing to IA to pick up the files.

Test set 100 Abraham Lincoln books then Univ Ill Press. 25 titles from them – if they don’t want to go up on IA – have Kirtas scan for them if they don’t want OCA.

Betsy can share the worksheets and material from Bowker regarding what needs to be done. Monday is the beginning start date for staff to try this. Next week UIUC is working the contract and the staff in place. Within a month try it out.

BHL trying to figure what to do with this offer. Examples of this to try – Species Pl. and Systema Natura.
