September 2, 2008 BHL Executive Committee Notes

Biodiversity Heritage Library Executive Committee Conference Call September 2, 2008
(Graham not on call)

1. Update on EOL Component Leader Meeting and revised schedules

Process clarified. Need to have goals and milestones (but not budget and workplan) by September 30, 2008, with a draft ready for the Institutional Council conference call on Sept 17.. BHL scanning details can be completed at a face-to-face BHL Institutional Council meeting.

Some EOL folks are going to TDWG. Chris is going to TDWG and presenting a poster on names evaluation. presentation update on BHL, JPEG 2000 software and Phil presenting about Fedora/TROPICOS.

2. Agenda for September 17 BHL Institutional Council conference call
Received ideas from Nancy Gwinn, Susan Fraser, Cathy

Please send any ideas for new directions. (Archives, pamphlets, field notes etc). Smithsonian botanist has a sizable grant in for field notes digitization (page images, metadata model and transcription for resource discovery).

3. Licensing BHL images (see email I just sent out):

This is complex! Connie noted that the BHL website states that commercial use should ask us. Tom noted that not all images are equal on our site--some have a Creative Commons License. BHL won't sue but copyright holders can sue. Commercial users need to know that this is possible. Some journals are allowing us to use newer material and this is under a Creative Commons License. The absence of technological control on our end is a separate issue from copyright. Copyright lies firmly with publisher of material. When someone makes request, verify that it is public domain and all ok. If not, we say the copyright is held by x, contact for permission for commercial use. Need a copyright statement for books that are under copyright. If we scan, wonderfetch brings in data but if we load digitized images from others, we have no statement.

4. Reports on grants and proposals.

Penn State researchers shared a draft of an automated metadata extraction proposal for the Moore Foundation.

5. Others
Should be gathering a bibliography of everything that is being published about EOL/BHL. Breen is gathering information--we can share, maybe. Cathy has an article in August First Monday (http://www.uic.edu/htbin/cgiwrap/bin/ojs/index.php/fm/article/view/2226/2013).
