Membership Workflow

  1. Identify prospective partners
    1. The Membership Committee periodically reviews incoming partnership requests received through the Feedback feature on the website. These issues are assigned to the Membership workspace in Gemini.
    2. The Membership Committee identifies and approaches prospective partners about joining. If not already in Gemini, the BHL Program Manager provides support by creating an issue in the Membership workspace in Gemini to help track the status.
  2. Invite applications for partnership
    1. The Chair of the Membership Committee or designee (i.e., BHL Program Director, the Chair of the BHL Members' Council, or the primary point of contact who has been working with the prospective partner), will send an application and invite them to apply. Standard text and a list of attachments is available in the BHL Operations Manual, and may be supplied by the BHL Program Director.
  3. Review applications for partnership
    1. Applications are submitted to the Chair of the Membership Committee, who may also choose to designate the BHL Program Manager to receive the application and forward it to their attention.
    2. The Program Manager updates the issue in Gemini as 'application received'.
    3. The Chair of the BHL Membership Committee will share with the Committee and call for input on the application and a recommendation on whether to send to Members for a vote.
    4. If the Membership Committee is in agreement, the Chair or designee will send to the BHL Members' Council for a vote. Standard text calling for the vote is available in the BHL Operations Manual.
  4. Notify applicant of decision
    1. The BHL Chair (EC) notifies the applicant of the Members' decision. If in favor, standard text for a welcome message is available in the BHL Operations Manual.
    2. The BHL Program Manager updates the issue in Gemini. If the decision was in favor, the Program Manager proceeds to Step 5. If it was not in favor, the BHL Chair may ask the applicant to update their application, or instruct the Program Manager to close the issue as not approved.
  5. Onboard applicant
    1. The Program Manager schedules a time with the new Partner and the Secretariat, notifies the Chair of the BHL Members' Council of the scheduled orientation, and closes the Gemini issue.
