- Secretariat Update
- Public & Private Wiki Migration. Ongoing. Apologies to those who felt deluged with requests for access going to the group.
- Botany 2018 Report. Martin participated in a JSTOR organized symposium (24 July 2018) at Botany 2018. Funding for the symposium was provided by the Botanical Society of America.
- GBIC2. Carolyn Sheffield will attend (and was funded by GBIF) the GBIC meeting in Copenhagen (happening now). There will also be a side meeting (dinner) of the CoL+ group. Carolyn has been invited to attend to represent BHL.
- Data Requests. William Ulate recently requested the Disqus data (which included names/emails) generated by the Mining BioDiv project. This raised a question about how to handle potentially sensitive data requests outside of the immediate BHL system. Martin will develop a plan for EC to review.
- Affiliate Freeze. The EC approved the freezing of all new Affiliate actions til the start of 2019. Affiliates can still be recruited, but no action will be finalized til 2019.
- In Copyright Lending. Chris Freeland will offer a BHL-centric webinar on in copyright lending. Stay tuned for details.

- Full Text Search Incremental Improvements. Being Worked on.
- IA Ingest. IA is running various "housekeeping" tasks that are touching (it seems) nearly all IA files. This triggers the BHL ingest process to look at more files during the ingest process and slows it down considerably (e.g. finishing on Thursday instead of early Monday). Mike's been in touch with IA to see when the housekeeping will be done; we are also looking at options for refactoring the ingest procedure to lessen the impact. Stay tuned.
- Topics from the Chair and Members (Connie)
- Follow up on issues from the breakout groups at the BHL Annual Meeting.
- Asked Barbara Ferry to bring together small working group to put together recommendations. Group can stay small, (e.g., Tom, Leora, Barbara) with consulting larger group for input.
- Membership Committee will make some proposals around different tiers, dues amounts, and other considerations for capacity/sustainability considerations; and bring those to the EC. Part of that is looking at how to incorporate required participations; might be a separate group but Membership Committee will take first pass. Martin and Carolyn will look at what Secretariat can actually handle in terms of capacity for Members and Affiliates.
- Some issues around 20th C gap might also intersect with print retention issues. Perhaps looking at direction IA is headed with lending in-copyright materials.
- Workflows - would a discussion group of Members and Affiliates be helpful here for reviewing scenarios? Might feed into what kinds of work we might want to ask of Affiliates. Could also be a bigger discussion at next year's meeting. If have more staff there who are actually doing the work. Or we could pass that along to the Staff group. Goal of sharing notions of how to improve workflows.
- Reference Group: Tomoko spoke to Bianca about assigning someone to assist with science reference questions that come in through Gemini. Not that many have come through but setting up a committee would be great. Tomoko to send a proposal to EC on forming the committee.
