March 11, 2008 BHL Executive Committee Notes

BHL Executive Committee Conference call March 11, 2008

1. "Staff in the Trenches" Conference call update
Wiki: WorkersMarch708Notes --lots of great
communication going on! Erin Rushing has started as assistant to Tom
for permissions work. She will be part of the working group. Should American
Libraries do some of the NHM serial runs (royal society
of....) because it is cheaper here? Fine with Graham although Royal
Society runs are up on Royal Society website. Should we do it ourselves
or what? If we can identify these, Tom can approach about a deal.
Graham will be meeting with Keith Moore at Royal Society so Graham will
check it out informally.

2. We've got an issue with the BHL portal that we need to discuss
concerning attribution of scanned materials. Take a look at:

http://www.biodiversitylibrary.org/bibliography/3341

This is a volume of Fieldiana scanned by UIUC. So, naturally, UIUC is
listed as the Contributing Library. This, of course, is a concern for
Michael G. @ Field.

To be clear, this actually isn't a problem in the portal, it's just
visible here. This is only an issue when Library A pays Library B to
scan Library B's copy of a book - Field paid UIUC to scan UIUC's copies.
There is nothing in the IA metadata that includes The Field Museum as a
contributor, sponsor, funding partner, etc. on this scanned book.

Contributor, sponsor, scanning library are all possibilities.

This is an issue for the Institutional Council and Architecture.
Attribution is important to all the contributors. Can we arrange
this in the BHL portal and will it be difficult to sort out at IA?
Chris will walk the group through a sample at the Architecture meeting
and then talk about the political aspects at the Institutional Council.
Showing financial sponsorship is also important.

3. MCZ - FYI--we still have not signed a contract, only because we are
waiting on the BLC contract to make even more explicit the "exhibit b"
clause and Brewster has inquired:

"IA must acquire, store, and return as appropriate those identifiers
needed to link the digital objects back to the contributing library's
system. Those unique identifiers may include the library's local
bibliographic record identifier, item identifier, inventory control
barcode, and/or other identifiers as the library sees fit. The
identifiers may be derived by querying the library's catalog."

Wonderfetch may work this out technically.

Connie will ask Brewster why not put the language in, we are doing it
already with Wonderfetch. It makes IA look more attractive to other
customers!

4. review of planning for Architecture meeting: Chris has edited the
agenda for the Architecture meeting and will put it on the wiki. Too
much on first day, particularly. Tom noted that a key outcome is that
Chris and his developers walk away with a clear direction. Tom will send
notes to Thorny Staples and Sandy Payette in addition to the reminder to
be sent by Connie, too. Tuesday dinner is TBA and as available. Many
restaurants in Harvard Square.
Tom may meet with Barbara Preece about OCA.

5. review of planning for Institutional Council meeting

Seems on target. No one from Kew can come and senior leadership from
AMNH is not available which is unfortunate. Tom may meet with Barbara Preece about OCA. Connie will make a printed copy of the agenda and bylaws for distribution at the meeting.

6. Proposals status: DataNet proposal in process, automated markup in
process for Jim Omura

Cathy noted that she always talks about the need for better OCR.
Mentioned to Joyce Ray (IMLS) and she noted that IMLS is interested and
Linda Fruh was there and said IA is interested. We should consider
partnering with IA on this. Cathy will pursue and Connie and Chris will
help as needed.

NEXT CALL: March 25?
