BHL Executive Conference Call January 27, 2009 Minutes
On call: Chris Freeland, Tom Garnett, Connie Rinaldo
We need a way to track problems identified by users and staff, such as jpgs that do not match the metadata or actual pages of an item. For now the problems seem to be less than 50 a year and we will track on the wiki. Usually the problem item is removed from BHL and will need to be rescanned to correct errors. Once we have a better idea of what needs to be tracked and what the action items might be, problems can be tracked within the database. Quality review is a major resource commitment. The pdfs, jpgs and original items must all be compared because there are so many opportunities for errors in linking, metadata and order. IA does some quality control at the scanning centers but it is not clear what is being done or how. Tom will convene a conference call with Internet Archive to gain clarity on what they do and what they expect us to do and how to resolve problems. Tom will try to include one or two appropriate people from each scanning center (London?, Boston, DC and NY).
Update on Smithsonian hosting the BHL--Chris will join meeting by conference call on Friday to review issues. BHL is maxed out on server provided by MOBOT for BHL. BHL is growing and CDL content will double the database. Need to migrate to new hardware at MOBOT or switch to Smithsonian. Mike L. will provide a spec for what it would cost to upgrade hardware and Sequel license and then can compare with what Smithsonian can offer.

Tom met this morning with Danianne Mizzy (Acad of Nat Sci, Phila.) regarding membership in BHL.
Nancy Gwinn, Susan Fraser and Tom are working on a draft strategic plan. Will have a document before March meeting.
Tom will send a note about the Architecture and Institutional Council meetings that are coming up. For the IC meeting at Harvard, attendees can book travel as well as hotel through Harvard meaning less paperwork and money upfront with one big invoice billed to BHL.
