Review of New BHL Consortium Members
Lots of new members. Richard NHM-LAC on call, Joined at Affiliate and attended recent Members meeting. Also represented at recent BHL Members Meeting:
National Library Board - Singapore
Washington University
UIUC

Scan list / Bid list
Keri and Jackie – with all new members and potential new members, how does this impact our scan list or bid list. Still based on original 10 BHL members!
It’s hopelessly out of date.

Keri – Can we move forward without a thing like it? Or do we need something like that serves the function?

Don – the second. We need some sort of mechanism

John – what was the status of the GRIB that was supposed to take over bidlist?
Connie -- It didn’t happen.

Jackie – Combination between using BHL interface and Gemini?
How common is taking on scanning a serial without prompt of user request?
If you do that, could make a Gemini ticket so can all search in same place

Scanning itself is greatly reduced at this point
To coordinate in Gemini, it's a rational approach

How much work is that?
I would want to hear from people who contribute

Joe – just scanning serial volumes as gap fillers. In our workflow, I’ll respond to Gemini issue and transmitted that way. Then I’ll do bid. Most now takes place via Gemini

Marty- we’re still scanning monographs
Create a list of titles that we think are candidates
We have searched in BHL to see if it’s in there
We haven’t been uploading to monographic deduper
Once its in pipeline
Bianca – maybe we can forego bid list at some point
We have a different process for monographs
Could Gemini replace both of those tools?
Is it really better for serials?

Connie – I’d worry a lot if we’re not using monographic
Jackie – monographic deduper grows with us very easily
You can use it without searching BHL separately

How do we want to proceed on this? Take a poll on staff with email? We don’t have everyone represented here
Are we ready to make a decision? MCZ, NYBG, HUH, LC, ready

William -- Global nodes in bid list?

Global nodes – not successful in integrating them into bid list
Only a few BHL-Europe libraries have used

In order to coordinate globally, we would need to incorporate global nodes into Gemini or whatever system we use

Marty – content shared among all global nodes

John – can of worms for years. How can we synchronize content of global nodes
Probably not possible at last discussion
Awful lot of content ingested that came in not through any of these tools
But we should try to do something to minimize duplication

Very early on, a lot of attempts to eliminate duplication entirely

Connie- monographic deduper tool is different than the scan list

John- Fine for us to use it

Tomoko – checking for duplicates on website took forever
We didn’t put our list into deduper because we didn’t know how to use it yet

Bianca – overall consensus is that it is useful, and helps reduce that work. It is an expectation

It’s a spreadsheet, we copy and paste into this one

One of the distinctions with Wonderfetch we used to have send information about the collection needed to be included in. The sponsor information, all has been removed from partner meta app. Answer is it should be part of file name
Can only send one list of books per sponsor
Sponsor is person sending or paying for scanning

If paying from two pots, need two sheets

Done a couple of smallish projects for Metro grant
BioDiv in beginning of file name indicates collection

In order to put in two different collections, not sure yet
This is the trial period

Bianca – try to use for next shipment, questions with IA scanning center and cc Bianca

You’re allowed to add columns and fields

Collection issue might be one that we need to tweak down the road
Let Bianca know how it goes for the next shipments

Copyright Metadata - Harsh Reminder!
Needs work. We have a standard set of copyright status metadata. Needs to be associated with every single thing that we send for scanning

Important that we list item information

Pay close attention to your copyright metadata going forward.

Will send information to Mike about batch updating

Gemini Update
Normal reminder. Thank you all for your activity.
Re-assign them, ask for help.
Any issues tagged as collection, there are 4 not updated since 2010.
Take a look, update them, or Give at a tag as special handling
83 not since 2012.

Rebranding Gemini
Martin asked Keri and Jackie to consider the idea of rebranding Gemini
When we talk about Gemini
It sounds like we’re selling Countersoft
And we’re really talking about an issue tracking system
Connie – a good idea.

Bianca – let’s do a one question survey
Send to Jackie any ideas on a name

One way is to say issue tracking system (ITS)

John -- Bugtrackers. Sort of biodiversity reference there ☺

PDF Generator Issues - Update from William
Experiencing problems with server, email server for PDF generator
Going down at 2am and taking time for rebooting
Working on moving that to a new bigger server
While we repair the old server
Testing the new one, as soon as ok, we’ll make the switch
Banner on site so people would know we are working on it
Jackie – no longer feedback now that banner is up

Round Robin
Randy – status quo. Finishing up Engelmann, ends in month and a half.
Marty – IMLS grant, seed and nursery catalogs. Coordinating with NYBG, working with NAL, BHL is ingesting their stuff. Entomology going to scanning vendor (not IA) shortly
Joe – Doing well. IMLS Purposeful Gaming. Selecting transcription tool, then transcribing. Loaded two field notebooks with Macaw for transcription. Shipment at scanner now.
Don – Should be getting shipment back shortly. Trying to catch up on some Gemini requests
John – work on Macaw continues. Hopefully later this week.
Richard – We’re cataloging 66 titles of rare books. Looking through BHL to see if any have been digitized and any htat have not, we’ll be in touch on what to do next
Executives, very pleased with participating. Maybe a member one day
JJ – Shipment went out. Uploading with Macaw. Done a couple of books now. Responding to Gemini requests
Jackie – Going great. Pretty normal. ANSP and Field shipments going back next week.
Cathy – We have another one ready to send out once we get that one back. We’ll look at our Gemini issues. Seeing what rare books we might have to add
Matt Person – Nothing new. UNESCO meeting here. Gave them a BHL demo. Librarian from Africa who expressed an interest in the project

Diana S – Shipment back from IA. Going to send another shipment. Also working on getting Macaw set up
