Charge: Biodiversity Heritage Library Staff share the collaborative responsibility for the daily operation, improvement, and promotion of the BHL as related to the mission and goals of the Library and its participating institutions. Staff participate in project communications, including monthly conference calls, BHL's issue tracking system, and various outreach and engagement activities. Staff are responsible for the digitization, discoverability and maintenance of content contributed to the BHL repository by its participating institutions.

- NEH Art of Life: We are up and above the 1.2 million pages reviewed for images and a ratio between 20% and 10% marked as valid images subtypes in the classification phase. Information is flowing into BHL. Volunteers requested.
- Purposeful Gaming:
- Rfp: The winning Gaming Company is about to be announced next Monday.
- On the Transcription tools: The Collections of Diaries and the Journals of William Brewster in two tools: the Volunteer Portal(ALA) and fromThePage (MBG). Volunteers requested.
- Mining Biodiversity:
- We are working with Jen Hammock from EOL at Smithsonian, as Science Specialist, who is helping with the terms and Ontologies used to markup our text and automatically process the BHL content.
- We'll have our Community Manager involved also in the process for 17 months (25% of her time).

Introductions
Diane Sands – Collections Development librarian, running a grant for mini-artists’ residencies using collections and presenting their work on the public floor
Grace Costantino – Been with BHL in 2008, from 2012-2013 was Program Manager, returning to the fold now as Outreach and Communications Manager as part of the BHL Secretariat.
Gemini Upgrade
Success! Same url for the new version. BC and Jackie are putting together training session

Serial Scan List**
For deduplicating serials. Based on 10 libraries but now have 20 libraries.
Group discussed possible alternatives. Bianca put together some flowcharts
Two Workflows:
Diana Shih – is it possible to put directly on BHL? So we wouldn’t have to go to many different places. Something that would say “being scanned” or “proposed”
BC: Would be a big change to website. We’ll need something more low barrier
Marty: Would be a great way to save a step, but understand BC’s response
Connie: Link to google docs from admin tool? Would still require some modification
Joe: If a serial is proposed and not yet in BHL, instead of putting in new title list, could record be inputted into BHL in lieu of putting in Serials list, and then lines could be added to it; would give us a unique number to use in Gemini
We could really use a unique identifier.
Bianca – our group could discuss further how much work would that be
If our workflow was upload serial MARC record to BHL, the details of leaving unpublished until scanned?
John – other thing to keep in mind is that these are all asking for new development and would have to determine if resources are available
William – interested in discussing, has come up before. Wouldn’t see these in our portal, only in admin for unpublished. We have had this request before. Wanted BHL ID for whole work. Model can handle, We would need to discuss requirements, we would need to make some changes.
Bianca – one issue is that we would like a one-stop shop, if need to use admin dashboard, you’d still have two different places to search. So unless we are going to make record available in BHL without assets, we still don’t have one stop shop
Jackie – new Gemini searches better.
Marty – that was my primary concern was that searching in Gemini is so poor. Wihtout clearer list to search or go through, it would be hard to confirm that it’s not already in Gemini. But it would be nice ot not go through to 2 steps
Connie – would prefer google list if it doesn’t require Gemini. If search is better though might be way to go
Jackie – flaw is that serial title may be cataloged differently at different institutions
Connie – might be easier to find in a google doc
Bianca – advantage to a serial title list is that you would have a quick and dirty list to glance at what is being worked on
In general, people would prefer to have as few steps as possible. Yes!
If we went with Serial Title list, we would want to loop out Gemini
Keri – how does this impact gap fill workflow?
Bianca – Jackie and I have had similar concerns. Things start to overlap in a way that you’d end up checking Gemini anyway
Keri – sometimes we can tell just in going to the shelf
Jackie – we can go to Gemini but is it helping the search problem. What is best way to avoid duplicating effort? If search function is significantly better, it may be worth it.
Connie – it could be as simple as a note in scanlist document, you know there are gaps in this particular serial so check Gemini
Gemini only workflow – Bianca. Joe. Jackie
Matt – Is there any type of functionality that could be added to the Gemini system that would join the two?
Bianca – unfortunately no
Marty – it can’t be Gemini only. Search in BHL
Bianca – talking about workflows in Document. Always will have to check BHL as default
Alison – existing scan list Will we have to check that as well?
Bianca – I’m not sure that we came up with
Jackie – I think we said that the scanlist we would ignore and start a clean slate
Most of scanlist bid that are being scanned are tracked in Gemini also
Do you have active bids in scanlist? I’ve been using it but I’d have to check
Do others have active bids in scanlist?
JJ and Joe yes but also in Gemini, Randy same
Marty – we anticipate scanning serials that did not come from Gemini issue
Who is in favor of serial title list?
Don in NY, also like the idea of putting into BHL portal; JJ second Don. Also really good for long lists. Keri – not super pro-Gemini if we can articulate problems we might be able to solve them in new Gemini. Bianca – hesitation to changing behavior is asking people to do more work in new ways
Don – In NY, most of us haven’t seen new Gemini. If it can do these things, why not? We’re talking about adding a new system anyway. Seems like a no brainer to me.
John – we upgrade systems all the time and people complain. Asking to change behavior should not be taking lightly
Jackie – we’ll be changing behavior anyway. We should choose which would be most useful.
John – we do have opportunity here given that Gemini is new and there will alreyd by some change in user behavior, probably makes more sense to get functionality into that system
Archiving Life & Lit

Facebook provides 3 options for archiving:
- Download and save the archived page, and then set it to inactive. It will no longer be visible but we could always reinstate it later if we chose to.
- Download and then delete the Facebook page, and it would be permanently gone
- Memorialize the page, the way that Facebook does for account holders when they pass away. So it would remain up but would be locked and we would not be able to edit. Ever.
So between those 3, any strong preferences or concerns about any of those?
- Setting to inactive so it’s no longer visible but can be reinstated - no comments
- Deleting it and then its permanently gone. - not discussed
- OR memorializing it so it stays up but we can never edit or reactivate it. –
John: objections to that, to memorializing. There’s so little activity. Just leaving it there, in the state it is in seems best. Leaving it as is.
William: if we take it down, or change it, name could be taken. We may not be able to take it back. Keep it as is.
John: domain name for website is already taken

Round Robin Updates
SIL: Scanning and intern with pagination. More than one item per title with no volume info; intern adding vol info
Pan-BHL Scanning: Current balance is $1,820. Adding funds, should be about 6-8 weeks before available. Will be an additional $30,000 available for pan-BHL scanning.
Field – Not doing much in Gemini; moving collections from temp storage.
Cornell – About same as usual. Entomology and seed and nursery catalog digitization. Yesterday gave tour of library to new director of plantations/arboretum, introduced to BHL
MCZ – scanning. Macaw working really well now, going really fast
NHM – uploaded first item via Macaw. Digitization engineer is leaving. In-house scanning unit is down to 2 days a week. Installing new library management system
Cal Acad – No updates on scanning. Moving a lot of things around. Will be less accessible until probably September
NYBG – Sent off bound volumes of seed catalogs. To use up credit they gave us for damaged books. Paul Silverman to begin using Macaw.
Harvard Botany – scanning shipment sent. Macaw is also much faster for us. 2- 3 items per day
MBLWHOI – Nothing new to report
MBG – Getting serials scanned from Gemini and LA County Arboretum permissions titles. Working with interns on segmenting the LA Co Arboretum materials (1 day so far).
AMNH – got a shipment back, getting new small one ready. Colleague to be working with Macaw.
NHM-LAC – added an item to Gemini. Put in a book that Christine from Field had a book, we had an earlier edition. I just put in that we had an earlier edition. Do you care if an older or newer edition? Bianca will follow up via email
Internet Librarian Conferene – 30 minute presentation in London to kick off meeting on that Monday hoping to visit NHM in London while there
