- New BHL program manager. Project manager since July 1 had some training overlap with Grace. Previous position with the Field notes project at the Smithsonian. Highlights of her work: Digitization, social media, connecting content project, coordination of budgets and much much more!

- Update on Partner Meta App
- Replacement for wondefetch. Still being used but, we are being encouraged to transition to the new format. A group of BHL folks spoke to Jude and Robert about what we need to do to make this transition. We will come up with our own template to use the MetaApp.
- IMPORTANT NOTE re: Page Inserts ==> Update from Mike Lichtenberg: No edits to IA are reflected back into BHL automatically. Mike must manually ensure that all desired IA edits are implemented in BHL.
- Mike: For page inserts require Mike to directly go into the database itself and make sure that all the page level metadata are pointing to the right place. When pages are added or removed is when mike needs to get involved. For metadata at the title level, we need to make changes to both IA and the BHL.
- Diana:What happened with the Copyright metadata not ingesting properly? Bianca: Wonderfetch is not a standard schema and not mapping to IA metadata fields properly. Wonderfetch was not transferring this metadata properly. Short answer: We don’t really know.

- Bianca, Jackie, and Adriana have annihilated the Gemini backlog. Woohoo!
- 30 unassigned metadata issues in there however, feel free to dive in to get rid of this queue.
- Jackie is the main Gemini triage person from this point on.
- If you have any questions that have not been answered in a few years assign Jackie to the issue and she will help you to get to the answer.
- Portal edit group, check Gemini for metadata issues that need to be handled. Take on one here or there when you have time.

Bianca: Why aren’t people not using this tool? This tool is not serving its purpose and useful?
Don: monographs they have been scanning have been for grants exclusively and does not affect their selection.
Connie: How do we know that you have scanned it if you are not deduping your materials? The difficulty is very expensive items in progress will be scanned by one institution only to find that another institution that hasn’t deduped their monographs has already scanned the item. This is very expensive and frustrating.
Bianca: Any monograph going into the BHL needs to be into the monographic deduper. Bianca manually adds spreadsheets for IA’s monographs that are ingested.
Becky: Using the deduper but, then still checking titles in the BHL just to make sure. Since no one is using it, it is not that reliable. Might need an upgrade?
Connie: For special collections this is vital because these materials are VERY expensive and if someone duplicates your effort. That’s not right.
Don: NYBG has been using it in a slightly different way for selection and misunderstood its original purpose.
Consensus: Continue using this tool until we have a better alternative. Everyone needs to update the tool with the monographs that they have already scanned.
JJ: Data-pull of your collection from IA then dedupe that stuff in the monodeduper. Bianca and JJ to follow-up with group and come up with a deadline.
- BHL unconference idea (Trish) [5]
- I was emailing with Martin last week about an event that HathiTrust Research Center is holding in Sept.
- Mark your calendars. HTRC is hosting its second annual HTRC UnCamp in September 2013 at the University of Illinois at Urbana-Champaign. The UnCamp is different: it is part hands-on coding and demonstration, part inspirational use-cases, part community building, and a part informational, all structured in the dynamic setting of an un-conference programming format. It has visionary speakers mixed with boot-camp activities and hands-on sessions with HTRC infrastructure and tools. Through the HTRC Data API, attendees will be able to browse and run applications (yours or ours) against the full 2.8M volumes of the public domain corpus of HathiTrust.
- I thought we could do something similar with BHL kind of like a hackathon but broader with opportunities for Flickr tagging, Wikipedia/media editathons, inspirational use cases, etc. Martin suggested I run the idea by the TAG and BHL staff groups.
- Additional day in conjunction with the IC meeting? How can we keep the cost down?

- AMNH – status quo. End of financial year.Same pace. Final list of materials that need rescanning is almost done.
- CalAcademy- Same pace with scanning; rescans going back to IA from 2 years ago. Unique items queued up and ready to go when next funding comes in.
- Carolyn: money is comeing August 1.
- Field: Out of money.
- BOT: Building a new database to handle scanning workflow; working with MCZ to coordinate shipments. We will be combining forces to save shipping money.
- MCZ: has about 50 items right now. About a month awayish on the next shipment. 14 vols at Widener. Shipment at IA now.
- Kew: New staff and training; pricing model changed slightly. Content should be online in the next few months.
- LOC: Paperwork is done. Some issues with getting rare book scanning, need to have a meeting with rare books. Already have a queue.
- MBLWHOI – Not been scanning. Yesterday 125th anniversary celebration. There was a fair and they hosted a Booth + BHL materials.
- MOBOT: Englemann correspondence; 3 stations still scanning books.
- NYBG: Money left over from small grant; sent 30 books out this week for BHL. 5 year grant for Global Plants Initiative ended. Losing Kevin, Paul and Shayna scanning techs. They will not have a functioning scanning dept. Writing another grant to NEH for a 2 year project.
- SIL: Failed 2 carts recently. Mostly plugging away on Gemini scanning requests.

- David heard via Martin: “Unlikely to have a staff meeting this year.” Combining staff meeting and un-conference would be great but, can we swing it?
- ALSO, BIANCA IS PREGNANT. Woohoo. Congrats to her from the whole group! She will be on maternity leave around Nov./Dec. Again congrats to the new mommy in our group.
- Tomoko: microbiology and evolution conference coordinate this with the unconference.
