Charge: Biodiversity Heritage Library Staff share the collaborative responsibility for the daily operation, improvement, and promotion of the BHL as related to the mission and goals of the Library and its participating institutions. Staff participate in project communications, including monthly conference calls, BHL's issue tracking system, and various outreach and engagement activities. Staff are responsible for the digitization, discoverability and maintenance of content contributed to the BHL repository by its participating institutions.

No longer doing round robin. News can be shared as needed. Calls will focus on various committees.

Updates
Matt, MBLWHOI – Change in our status in 2016. Round of budget cuts and shifting to Affiliate status. Not sure that it will really make a difference in terms of Matt’s participation. Main difference will be level of Dues. Diane Rielinger will remain lead contact.

Matthew, AMNH – Our QA has slowed down. Volunteer has retired from helping out.
While assistant was doing latest batch of books scanned in NJ, last two pages wasn’t from book. It was two scans of color calibration card after back cover.

Randy, MBG – lost full time scanner. down to 3 people part time scanning.

Committee Reports
Executive Committee
Focusing all attention on Joint meeting to settle times and topics
Also setting up a Global meeting to weigh in on what they’d like for their agenda

Membership Committee
Met recently and reviewed Naturalis and Members’ will be voting on that very soon
Recommendation to EC was that we accept them as Affiliates

Waiting on documentation for a few other Membership inquiries

Technical Team – Joel
On track with portal move for Feb 8
All work has been done to identify permission issues
Testing database backups
Getting ready to turn off admin portal next Friday 1/29
Last ingest will happen this weekend, no ingest on 1/30
And then the next ingest will happen at some point after switch traffic to new site, post 2/8
BHL begin operating normally and admin portal operation again when on new servers
May put up message on old site that admin portal is temp disabled
Transition should be transparent
Site may be a little faster
Some pdf s may be missing but we’ll be adding them back in

Discovery Tools Working Group
Adam, librarian at Cornell working with Marty Schlabach
Started discovery tools group last year in late winter / spring and have been working to push out better metadata to discover services, at title and article levels
Finished mapping for NISO KBART feed
Discovered some challenges based on metadata available in BHL database right now
Now mapping to NISO JATS standard starting at NLM
Almost finished
Compiling all of our notes into discrete tasks to enter into Gemini for prioritizing

User Feedback Management Group
Discussing new ideas for different elements of managing our feedback
5 major tasks involved in user feedback
Our group discussing how to streamline and help distribute labor
Also looking into what others are doing
Literature review on asynchronous virtual reference

Cataloging Group
8 of us, had our first conference call the other week.
Goal is to help with cataloging records
Section in Gemini focused on cataloging
Long series with bibliographic research needed
Also questions about serials for example

Expanding Access
IMLS funded project
For small publishers and institutions to share content on BHL
Hired two employees, Mariah and Patrick
Trish also on the grant
Also attending BHL Boot Camp in a couple of weeks
Identifying possible content providers and reviewing issues in Gemini

Officially received in January
Smithsonian OSP is setting up accounts for partners,

Survey on Tech Products
At Staff Meeting, Trish shared the tools, sites, and workflows BHL has produced as part of Art of Life, Mining Biodiversity, and Purposeful Gaming. As that grant funding has come to a close, we are seeking input on prioritizing and timelines for maintaining these tools. To submit your input, please complete the survey which includes a link to the very helpful chart that Trish put together for us on what each of those tools and sites are, including the purpose and other notes on things such as the status or requirements for maintenance. Please complete the survey by January 31, 2016.

Color Our Collections
Cool outreach activity, Feb 1- 5. New York Academy of Medicine spearheading
Share digital images from our collections that people can download, color, and share on social media with the hashtag
BHL will be participating with a Flickr collection, 800 black and white images contributed by almost all partners in Flickr
Also turning some color images into black and white and making available in pinterest
Then collection in BHL of all books that images are from
If you have other images, feel free to jump into event and participate
GC will share with outreach staff at partner institutions
NYBG is also putting together a coloring book for the event
