Agenda
- New to the call? Please introduce yourself and welcome! (Bianca Crowley)
- Round Robin Updates - anyone have any news to report? (All)
- Committee reports:
- EC & Members group (TBD)
- Technical Team (Joel Richard)
- Collections Committee (Bianca Crowley)
- Cataloging (TBD)
- User feedback management aka "Gemini" (Bianca)
- Goal: Make it easier for BHL Staff to close out issues by reducing the number of fields they have to edit in the Gemini issue.
- Status can become a strictly automated field that changes according to the Resolution selected
- BHL Staff would be able to select the Resolution they need and move on. They would no longer be able to select the Status.
- IF an issue needed to be re-opened, the Resolution could be changed to Unreviewed to prompt the Resources assigned to revisit the issue.
- Could implement a Rule that automatically sets the Resolution from In Progress to Unreviewed after a certain amount of time has passed, say a few days/weeks/months, depending on the type of issue.

Technical Team Updates

Collections Committee Updates

Lots of shark and sharks, possibly around Shark Week

These are pulled from Basic Search queries
Let Bianca know if you have any suggestions on how we can use this information
Cataloging Group
Diana (AMNH) - we'll have a conference call next week on Aug 23, 4pm eastern
Susan Lynch would like to join the Cataloging Call
Will be discussing some of the issues caused by lack of authority control
Cataloging Group could make recommendations and BHL Staff are able to merge records
Anything like an overhaul might be a Tech issue
User Feedback Management
See agenda for details on new status/resolution categories to help track progress
If you set to complete, Gemini could set to closed
If in progress, Gemini would keep it open
So you would only need to manually change status, not resolution
Responses:
- This would be helpful and clarifies
- Agree -- helpful
Opposed? None stated.
Bianca will work on implementing this by Sept. 1
Also, for #4 above, we're seeking guidance from Members and discussing with Tomoko and Barbara Ferry
If something is in progress, and let's say it's a reference question and hasn't been completed, it could automatically reset to Unresolved to ping those assigned to revisit
Time frame could also be six months for issues where a longer timeframe might be more appropriate
Would this change the date of last revision for the request?
Bianca will like into this

Volunteer workgroup started in 2014
Licensing - when we started, there was no public domain option. So we used the least restrictive. Now there is a public domain option. Bianca and Grace will assess which should have that mark, and revise the policy, and go through and make the changes. At some point, workflow will change to use the other licenses
Projects
EABL
Mariah, Currently have 66 In-copyright titles
147 titles
More being added everyday
Working on article level metadata
Also working on options for local scanning workflows for contributors
Article level metadata - goal is for when we get permissions, we'd like to first get content into BHL, and then define articles to provide better access and discoverability, enabling search by article author or title.
Part of workflow is when we have permission, a group of people will determine if merits article level description
For example, Zoologica, articlizing that with goal of 100% articlization
We were able to get article level info for 100% of articles
Using citation mgmt software to help aggregate before driving to BHL
Once satisfied is correct, we send to Rod Page and then flows from BioStor to BHL
We'd like to use OpenRefine to use an authorized form of author names
Would like to discuss with Cataloging Group next week
