BHL Staff LifeandLiterature Report
The report will include:
1) Summary graph of our additions to the four quadrants from the breakout session (as filled in at the beginning of the meeting yesterday)
2) Graph displaying our ranking of attendee priorities compared with attendee rankings
3) Brief list of anecdotes for overall thoughts from conference and specific things we want BHL to focus on
For item 2, to create a graph displaying our priorities for BHL with those of the attendees, Joe and J.J. at Harvard have recommended we using the following application:

Decisions:
- Report will consist of graph prioritizing conference attendee and staff lists of items for BHL to focus on in the future as well as anecdotes for these priorities
- Anecdotes will consist of those generated at the BHL staff meeting Nov. 16th (see Staff Reactions to Life and Literature doc above) and any open-ended comments from staff taking survey
- Graph will be created via a survey that will be sent out to staff to rank these items
- Survey will be created either via Survey Monkey or allourideas.org
- J.J. will contact someone at DPLA that has used allourideas.org before to see how they liked it and whether we want to use that application or not
- Survey will divide items into the four breakout session categories from Life and Literature (Tech Advancements; Educational Outreach; Content and Connections; New Collaborations)
- Our ultimate graphs may leave these categories (thus producing 4 graphs) or group all priorities into 1 final graph
- Survey will consist of attendee priorities from breakout sessions, staff priorities as generated at the Nov. 16 staff meeting (see Staff Reactions to Life and Literature doc above), and any additional thoughts given by BHL staff via email (see below)
- Grace C. will send out an email to the BHL listserv listing those priorities we already have and asking if anyone wants to add any additional priorities to be included in the survey. This email will be sent Friday, Dec. 16th or Monday, Dec. 19th and will close Wed., Dec. 21st.
- Next call will be Wed., Jan 4 at 11am EST, during which we will talk logistics of creating the survey
- The following steps will be pursued to finish this survey:
- Get any additional priorities to be included in the survey from BHL staff (retrieved via email sent to staff Dec. 16th or 19th)
- Put survey together (logistics to be talked about on Jan. 4th call)
- Test survey (timeline TBD; test group will consist of people within this group)
- Send survey out to staff. (We are aiming to have the survey ready to be sent out to staff by the next Staff Call on January 19th)

Decisions:
- We will use survey monkey to create the survey
- We want staff to rank every option, not just their top five
- We want to force staff to prioritize each item over the others, rather than allowing them to give the same level of priority to multiple options
- We will include open-ended comment fields for each question that allow staff to fill-in additional priorities
- We will include "duh" priorities in the survey (i.e. things that we know everyone wants)
- The Editing Committee (Gilbert, Trish, Matt, J.J.) will edit the list of priorities and send out final document to the group by the 10th of January (Tuesday)
- The Editing Committee (Gilbert, Trish, Matt, J.J.) will look into alternative ways we could present the options for each category to make it more manageable for people to rank them (i.e. alternative to creating sub-categories for each larger breakout session category)
- Next call will be January 12th at noon, EST, where we will review the editing committee's work and create group to actually put the survey together

Decisions:
- We reviewed the editing committee's edits on the list of priorities, answered questions, and approved a final version of the document BHL Priority List for 4-5 years (2).doc
- We created a committee to put the survey together (Grace Costantino, Becky Morin, Joe deVeer, Michelle Abeln)
- We decided to use Qualtrics to administer the survey instead of survey monkey
- We will create one survey which, if there are no edits that need to be performed, will be sent to the larger group for responses
- The Survey Creation Group will have a conference call on January 18th at 2pm EST to finalize test survey
- Test survey will then be sent to larger Reactions group to take
- We will schedule a call after everyone has taken the test survey to discuss any necessary edits and promote the survey to the larger group
