2009 Institutional Council Meeting Travel Information

Hotel Accommodations
A block of rooms have been reserved at the Sheraton Commander Hotel, 16 Garden Street, Cambridge, Massachusetts 02138 for the nights of March 19thand March 20th. Attendees are responsible for booking their own rooms through this website:http://www.starwoodmeeting.com/Book/biodiversityheritage or by contacting Sandra Poehler, Sales Manager, at 617-234-1349. Be sure to reference “Biodiversity Heritage Library” when booking through Sandra. Rooms will be blocked untilFebruary 17th, so attendees should book before then. Harvard will be billed for the accommodations directly, so guests will not have to be reimbursed.

Airfare and Other Transportation
Since Harvard uses a preferred travel agency with competitive pricing, we encourage you to use the Harvard Travel Center to book your flight. All airline tickets purchased through our agent will be directly billed to us, so you do not have to worry about submitting receipts or tickets for reimbursement. If you would like to make your travel arrangements on your own or through your own travel agency, you must obtain from the airline or travel agency a receipt showing class of service and proof of payment, not a boarding pass, for reimbursement. For electronic tickets, you must obtain a receipt – not a confirmation – showing: passenger name, issue date, ticket number or other proof of payment, total cost, class of service, itinerary or routing of flights, and payment type. Harvard will only reimburse for economy or coach class airfare. The University does not reimburse for any costs associated with Frequent Flyer upgrades, and does not reimburse for tickets purchased with Frequent Flyer miles.
